ReporONE ("we", "our", or "us") operates the ReporONE mobile application and web service (the "Service"). This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use the Service.

Account Information: When you create an account, we collect your name, email address, and password (stored securely using industry-standard hashing).

Project Data: Information you enter about your projects, including project names, addresses, descriptions, and visit records.

Media Content: Photos, videos, and voice recordings you capture or upload through the Service. This includes metadata such as timestamps.

Voice Transcriptions: Audio recordings are processed through OpenAI's Whisper API to generate text transcriptions. Audio data is sent to OpenAI solely for transcription purposes and is not retained by OpenAI after processing.

Usage Data: We may collect information about how you access and use the Service, including device type, browser type, and interaction patterns.

2. How We Use Your Information

• To provide, maintain, and improve the Service
• To generate AI-powered reports from your project data and media
• To transcribe voice recordings into text
• To enable team collaboration features and project sharing

3. Data Storage and Security

Your data is stored on secure cloud servers. Media files (photos and videos) are stored in encrypted cloud object storage. We implement industry-standard security measures including encrypted connections (HTTPS/TLS), secure password hashing, and access controls to protect your personal information.

4. Third-Party Services

We use the following third-party services to operate the Service:

• OpenAI: For voice transcription (Whisper API), AI report generation (GPT-4), and text enhancement features. Data sent to OpenAI is processed according to OpenAI's Privacy Policy.
• Cloud Hosting: Our servers and databases are hosted on secure cloud infrastructure.

We do not sell, trade, or rent your personal information to third parties.

5. Data Sharing

Your project data and media are private by default. Data is shared only when:

• You explicitly share a project or report with another user
• You enable public sharing for a report
• You invite team members to your company workspace
• Required by law or to protect our legal rights

6. Camera and Microphone Access

The Service requests access to your device's camera and microphone to enable photo/video capture and voice recording features. These permissions are used solely for the intended functionality and can be revoked at any time through your device settings.

We retain your data for as long as your account is active or as needed to provide the Service. You may request deletion of your account and associated data by contacting us.
